You’ve found a supplier, you love their samples, and you are ready to place a large order. But wait—don’t sign that Purchase Order yet. A bulk order is a significant financial commitment. Here is a final checklist to protect your business before you pay a deposit.
1. Sample vs. Mass Production Consistency:
This is the #1 problem in the artificial flower industry. The sample you received might have been handmade by a senior technician, while the bulk order will be made by factory workers. Always ask for a “pre-production sample” (PPS). This is a sample pulled directly from the production line before the full run begins. Approve the PPS in writing before mass production starts.
2. Packaging Durability:
Artificial flowers are fragile. If they are crushed during shipping, they are unsellable. Check the packaging specifications. Are the flowers individually wrapped? Is there a hard carton to prevent bending? Ask for a photo of the packed carton before shipping.
3. Payment Terms & Inspection:
Standard terms are usually 30% deposit, 70% balance before shipment. Never pay 100% upfront. Also, arrange for a third-party inspection (like SGS or QIMA) if the order is large. This costs around $100-$300 but can save you thousands in defective goods.

4. Lead Times:
Always add a buffer. If the supplier says 30 days, plan for 45 days. Chinese New Year, National Day, and peak shipping seasons can cause massive delays.
